- Development & Operations Coordinator
Description
This role strengthens LWVPA’s development efforts by identifying grant opportunities, drafting grant proposals and reports, tracking grant spending, supporting individual giving, managing donor acknowledgments, assisting with donor cultivation, and maintaining accurate donor records to build sustainable capacity. The Coordinator will also serve as LWVPA’s general administrator, including managing general inquiries, supporting accounting and financial reconciliation processes, coordinating meetings and events, and assisting local Leagues with administrative tasks and logistics. Working closely with the Executive Director, State Board, and staff, this role ensures smooth operations and effective coordination across programs and initiatives.
Key Responsibilities (to include, but not limited to):
- Development (~50%): Assist with donor campaigns and acknowledgments; track and record donations (including for Fair Districts PA); support grant prospecting, drafting, and reporting; assist with the annual report; maintain the donor database; and other tasks as assigned.
- League Administration (~25%): Serve as first point of contact for the League; manage inquiries, databases, calendars, and insurance policies; support Board committees, scheduling, and the calendar; support compliance filings for the State and local Leagues; assist with tech and event coordination; provide support for Fair Districts PA as needed; and other tasks as assigned.
- Financial bookkeeping (10%): Work with the accounting firm to manage bills, reconciliations, reimbursements, and local League billing; track finances and prepare reports in QuickBooks; assist in preparing reports for grant applications and the Board; provide audit support; and other tasks as assigned.
- State League communication (10%): support the maintenance of the State League website and social media accounts; send emails and action alerts through Action Network; support the writing and distribution of a monthly newsletter; support communications efforts of local Leagues; create flyers and other assets for events, social media, etc; serve as primary liaison between communications consultant; and other tasks as assigned.
- Vendor and asset management (5%): Liaise with and manage payments to vendors, manage our merchandise website and orders, manage print orders, etc.
- Other tasks as assigned (TBD): in coordination with the Executive Director, other tasks will be assigned as needed.
Requirements
- Bachelor’s degree required
- Must be a current resident of Pennsylvania
- Ability to work independently, with strong interpersonal skills
- Ability to work under tight deadlines, including the ability to pivot quickly to address time sensitive needs, while maintaining data/information accuracy and integrity
- Excellent communication skills, both written and oral, including flexibility and patience to address Board and local League members’ questions and concern
- Knowledge of and experience with QuickBooks Online, Little Green Light (or other donor database)
- Additional experience with Bill.com, Canva, and Squarespace, or other website builder, a plus
